The Prescription Book

Section 24 of the Poisons Act requires a record on the same day for any poison supplied as a dispensed medicine. Klinira writes it at the moment of dispensing, with the date, the serial number, the poison and its ingredients, the quantity, the patient's name, and their address where the supply was not on a written prescription.

The psychotropic register

• A separate register, with its own serial sequence.
• An entry is never deleted and never replaced. A correction sits beside the original.
• Serial numbers are never freed. A gap in a serial sequence is the first thing an inspector asks about.

Recording a movement

Dispensing writes itself into the register. Everything else that reaches a controlled medicine has to be recorded here: a delivery arriving, a return to the supplier, or a correction to what is written. Record a movement is the strip at the foot of the screen.

1. 1Choose which medicine, and what happened — received from a supplier, returned to a supplier, or a correction.
2. 2Put in how much, the supplier's document number, and a note saying why.
3. 3Record it. The balance on the register moves and the entry takes the next serial.

Disposal

Destroying psychotropic stock requires a Drug Enforcement Officer to be present and giving the instructions. Klinira records the disposal against that officer. It will not accept a colleague as a witness, because a clinic that destroyed controlled stock on a colleague's signature would be in breach while believing our system had kept them compliant.

Printing a register

1. 1Open Registers and choose which one.
2. 2Set the date range. An inspector usually asks for a period, not everything.
3. 3Print. The layout is the one the register is expected to be kept in.
