Where the software actually runs

One computer in the clinic is the server. It holds the encrypted database and is the only process that ever writes to it. Every other workstation talks to that computer over your own local network. Nothing in a consultation, a dispense or a bill travels to the internet to complete.

The internet is used for four things only: activating your licence, refreshing it, uploading the encrypted nightly backup, and the owner's remote summary. Lose all four and the clinic still opens.

What keeps working when the line drops

• Registering patients and running the queue
• Writing and signing consultation notes
• Viewing the full patient history
• Printing labels, MCs, referral letters and receipts
• Appointments, recalls and the TV queue display

What pauses, and why

If a single workstation loses the network — not the clinic, just that one PC — notes keep saving to a local queue and replay automatically the moment the connection returns. Nothing is lost and nobody has to remember anything.

If the server PC itself is unreachable, dispensing and billing pause on the other workstations. This is deliberate. Stock levels, invoice numbers and Prescription Book serial numbers must never repeat or skip, and only one machine can safely allocate them.

Thirty days, then read-only

The licence is cached for 30 days. Past that, without a single successful check-in, the system moves to read-only: you can still open every record, print everything and export all data, but you cannot create new clinical entries until the licence refreshes. Thirty days is long enough to survive any real outage and short enough that a licence still means something.
