Psychotropic register with a running balance

Klinira keeps a separate register for Third Schedule psychotropic substances that carries a running balance, so a discrepancy between the shelf and the book is surfaced the day it appears instead of being quietly adjusted away.

The difference of 2 is recorded and stays recorded. Klinira does not adjust the balance to make it disappear — an unexplained gap that was quietly corrected is worse than one that was written down.

Why a separate register at all

Third Schedule substances — diazepam, phentermine, alprazolam and the rest — attract obligations beyond the ordinary Prescription Book. What an enforcement officer usually asks for is not a list of what you dispensed, but proof that what you received, dispensed and disposed of adds up to what is on the shelf right now.

Klinira ships classification for 14 Third Schedule medicines and keeps that arithmetic continuously, per item and per strength.

A mismatch is raised, not hidden

When a count does not match the running balance, the system records the count, records the difference, and asks who counted and why it differs. It does not overwrite the balance to make the discrepancy disappear. An unexplained difference that was silently corrected is worse than one that was written down.

Disposal, and the witness rule

Disposal of psychotropic stock must be witnessed by a Drug Enforcement Officer, not by a colleague. This is the single most common mistake we found when reading how clinics actually handle expired stock.

Klinira records the disposal, the quantity, the reason, the date and the witness, and prints the record. It will not let you close a disposal without naming a witness, because a disposal record with no witness is not a disposal record.

Common questions

Does every clinic need a psychotropic register?

Only clinics that hold and supply Third Schedule substances. Weight management clinics almost always do, because phentermine is one. Many GPs do too, through diazepam.

Can I keep it in the same book?

Klinira keeps it separately and prints it separately, because that is the form officers expect to be handed.
